Privacy Policy
Last updated: 24 July 2026CelebrantCentral is a practice-management platform built for Australian marriage celebrants. This policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you (and the people your clients represent) have.
We've tried to write this in plain English. It's still a legal document, so it's long — but nothing in here should surprise you.
This policy is written to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). CelebrantCentral (Los Trajes Pty Ltd) voluntarily opts in to complying with the Privacy Act and APPs in full, regardless of whether it qualifies as a small business operator that could otherwise be exempt — given the sensitivity of the marriage paperwork and identity information the platform handles, we don't think an exemption is the right call.
1. Who this policy covers, and two different relationships
CelebrantCentral sits between two groups of people, and it's important to be upfront about both:
- You, the celebrant — when you sign up for CelebrantCentral, create an account, and use the platform, we collect information about you directly. This policy explains that relationship in Part A.
- Your clients — the couples you marry — as part of running your celebrant practice, you enter information about your clients into CelebrantCentral: names, contact details, dates of birth, identity document details, Notice of Intended Marriage (NOIM) data, Form 15 declarations, and other information required to legally marry a couple in Australia. In this relationship, you are the data controller and CelebrantCentral is a data processor acting on your instructions — we store and process that information on your behalf, as your service provider, not as an independent party collecting it for our own purposes. This is explained in Part B.
If you are a couple whose celebrant uses CelebrantCentral and you have questions about how your information is being handled, your first point of contact should be your celebrant — they collected your information and are responsible for it under the Privacy Act. We support them as a processor, and we've included a section for you in Part B as well.
Part A — Information about celebrants (our direct users)
A1. What we collect about you
When you create and use a CelebrantCentral account, we collect:
- Account and identity information: name, email address, phone number, password (hashed — we never store it in plain text), business/practice name, marriage celebrant registration number, and business location/state.
- Billing information: billing name and address, ABN (if provided), and payment details — though card details themselves are collected and stored by Stripe, our payment processor, not by us directly (see section A5).
- Usage information: how you use the platform — pages visited, features used, ceremonies created, log-in times, device/browser type, and IP address. This helps us run the service and fix problems.
- Support communications: anything you send us via email or in-app support requests.
- Marketing preferences: if you sign up to our "notify me" list or subscribe to product update emails, we collect your email address and track whether you open/click those emails (standard for most email platforms).
A2. How we use your information
We use your information to:
- Create and administer your account and provide the CelebrantCentral service.
- Process subscription billing (see the Terms of Service for how billing works).
- Communicate with you about your account, service updates, and (if you've opted in) product news.
- Provide customer support and respond to your enquiries.
- Monitor, maintain, and improve the platform, including diagnosing technical issues.
- Detect and prevent fraud, abuse, or security incidents.
- Comply with our legal obligations (e.g. tax and financial record-keeping).
We do not sell your personal information. We do not share it with third parties for their own marketing purposes.
A3. Who we share your information with
We share celebrant account information with:
- Stripe (payment processing) — see section A5.
- Resend (application transactional email) and Brevo (marketing email) — see section A5.
- AWS (cloud hosting infrastructure) — see section A5.
- Google Analytics, Meta Pixel, and Microsoft Clarity (website analytics only — see section A6).
- Law enforcement or regulators, only where we're required to by law.
- A buyer or successor entity, if CelebrantCentral is ever sold or restructured (you'd be notified).
A4. Marketing and communications
If you subscribe to our mailing list or leave your email on our "notify me" waitlist, we'll send you product updates and launch information. Every marketing email includes an unsubscribe link, and you can opt out at any time without affecting your ability to use the core product. Transactional emails (billing receipts, password resets, service notices) are not optional — they're necessary to run your account.
A5. Overseas disclosure
CelebrantCentral is hosted on Amazon Web Services (AWS), in the Sydney (ap-southeast-2) region. Where our infrastructure is hosted in Australia, your data and your clients' data is stored on Australian soil.
Some of our service providers may store or process data overseas:
- Stripe processes payments and may store billing data on servers located outside Australia (Stripe's own privacy policy governs how they handle this).
- Resend, our application transactional email provider, is US-based.
- Brevo, our marketing email provider, is EU-based.
Under Australian Privacy Principle 8 (APP 8), before we disclose your personal information to an overseas recipient, we take reasonable steps to ensure they don't breach the APPs in relation to your information. Where practicable, we choose providers with strong privacy and security commitments (e.g. Stripe is PCI-DSS Level 1 certified). By using CelebrantCentral, you consent to this limited overseas handling of billing and communications data where applicable.
A6. Cookies and website analytics
Our marketing website (www.celebrantcentral.co) and web application (app.celebrantcentral.co) use cookies and similar tracking technologies, including:
- Google Tag Manager (GTM) — a tag management system that loads other tracking scripts.
- Google Analytics 4 (GA4) — collects information about how visitors use our website (pages viewed, time on site, referral source, approximate location, device type) to help us understand and improve the site.
- Meta Pixel — helps us understand the effectiveness of any advertising we run on Facebook/Instagram and to build audiences for future ads. This may involve Meta using cookies to link your visit to a Facebook/Instagram profile if you have one.
- Microsoft Clarity — session-recording and heatmap analytics to help us understand how visitors use our website.
These tools may set cookies on your device and may share limited data with Google and Meta respectively, in line with their own privacy policies.
Your choices:
- Most browsers let you block or delete cookies via their settings. Blocking cookies may affect some website functionality (it should not affect the core CelebrantCentral app, which uses cookies primarily for login sessions).
- You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
- You can manage or opt out of Meta's ad personalisation via Meta's ad preferences or via Your Online Choices (Australian opt-out tool for online behavioural advertising).
- We do not currently run a cookie consent banner (CMP) on the marketing site — pre-launch tracking is limited to first-party analytics. We'll add a consent banner and update this section before we run any paid advertising that relies on third-party cookies (e.g. Meta Ads).
We do not currently use these tools to track usage inside the logged-in celebrant application (app.celebrantcentral.co) beyond essential session/login cookies — analytics tags are limited to the public marketing site.
A7. Security
We take reasonable technical and organisational steps to protect your information, including:
- Encrypted data transmission (HTTPS/TLS) across the platform.
- Encrypted storage of sensitive data at rest.
- Password hashing (we never store your password in plain text).
- Access controls limiting who on our team can view account data, restricted to what's needed for support and operations.
- Regular review of our hosting and infrastructure security posture.
No system is 100% secure, and we can't guarantee absolute security — but we take this seriously, especially given the sensitive nature of the marriage paperwork stored on the platform.
A8. Data breach notification
If we experience a data breach that is likely to result in serious harm to individuals whose information we hold, we will comply with the Notifiable Data Breaches (NDB) scheme under the Privacy Act. This means we will:
- Investigate promptly to confirm whether a notifiable breach has occurred.
- Notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
- Provide guidance on steps you can take to protect yourself.
Given that celebrants store clients' sensitive information (including identity documents) on the platform, we treat breach response as a priority process, not an afterthought. Our internal breach-response lead is Marc Radaic.
A9. Access and correction
You can access and update most of your account information directly within the app (account settings). If you'd like a full copy of the personal information we hold about you, or want to correct information you can't edit yourself, contact us at connect@celebrantcentral.co.
A10. Closing your account
If you close your CelebrantCentral account:
- You can export your data (ceremonies, client records, documents, invoices) before closing — see section B6 for details, since this includes your clients' data too.
- You have a 90-day export window after closure to download your data (see section B6) — after that, we will delete or de-identify your account information, except where we're required to retain records for legal, tax, or accounting purposes (e.g. invoicing history).
- Residual copies may persist in backups for up to a further 35 days after that point, before being purged in the ordinary rotation of our backup systems.
Part B — Information about your clients (the couples you serve)
B1. The nature of this relationship
As a marriage celebrant, you collect and hold sensitive personal information about the couples you marry — names, dates of birth, addresses, contact details, occupation, parents' details, prior marriage/divorce information, identity document numbers, and the contents of the Notice of Intended Marriage (NOIM) and Form 15 declarations.
When you use CelebrantCentral to manage this information, you remain the party responsible for that data under the Privacy Act and the Marriage Act 1961 — you collected it directly from your clients, for your own purposes as their celebrant, and you determine what's collected and why. CelebrantCentral's role is to store and process it on your behalf, as a service provider, under your instructions — much like a filing cabinet or a bookkeeper would.
In practice, this means:
- You are responsible for telling your clients how their information will be used, obtaining any consents you need, and ensuring your own collection practices comply with the Privacy Act (if you're covered by it) and your obligations as a registered celebrant.
- We are responsible for keeping the platform secure, not using your clients' data for our own purposes (e.g. we will never use client data stored in your account for our marketing), and processing it only as needed to provide you the service.
B2. What client information is stored on the platform
Depending on how you use CelebrantCentral, this can include:
- Contact details (name, email, phone, address).
- Identity information required for the NOIM and Form 15 (date and place of birth, occupation, prior marriages, parents' names and birthplaces, identity document type/number where recorded).
- Ceremony details (date, venue, ceremony content, vows, run sheets).
- Communications between you and your clients conducted through the platform (e.g. client portal messages).
- Invoicing and payment records related to your services to them.
- Any documents you upload relating to the ceremony or legal paperwork.
B3. How we use client information
We only use client information stored in your account to:
- Provide the CelebrantCentral service to you (storage, display, document generation, portal access for your clients).
- Provide customer support to you when you contact us about a specific ceremony or client record.
- Maintain and secure the platform (e.g. backups, security monitoring).
- Comply with the law, if legally compelled (e.g. a valid court order).
We do not use your clients' data for our own marketing, sell it, or disclose it to any third party except the infrastructure/sub-processors needed to run the platform (see section A5/A3), or as you direct (e.g. when you invite a client to your client portal, which shares relevant ceremony details with them directly).
B4. Client portal access
If you invite your clients to use the CelebrantCentral client portal, they will be able to view and, in some cases, submit information related to their own ceremony (e.g. filling out details for their NOIM). This is functionality you control — you decide what's shared with your clients via the portal, and your clients' access is scoped to their own ceremony only.
B5. Notice to couples / clients of celebrants
If you are a couple working with a celebrant who uses CelebrantCentral: your celebrant collected your information directly and is responsible for how it's used and disclosed. CelebrantCentral processes it on their behalf and does not independently use it for other purposes. If you have questions about your data, please contact your celebrant first. If you believe CelebrantCentral itself has mishandled your information outside of what your celebrant instructed, contact us at connect@celebrantcentral.co and we will investigate.
B6. Export and deletion of client data
- Celebrants can export their client and ceremony records.
- If a celebrant closes their account, client data associated with that account will be deleted or de-identified within the same timeframe described in section A10, except for records we're legally required to retain.
- If a celebrant needs to delete a specific client's data (e.g. at the client's request), contact us at connect@celebrantcentral.co.
Because the underlying legal obligation to retain marriage paperwork (e.g. NOIM records) sits with the celebrant and Births, Deaths & Marriages authorities — not with CelebrantCentral — we recommend celebrants understand their own record-keeping obligations under the Marriage Act before deleting any client record.
B7. Security of client data
The same security measures described in section A7 apply to client data, with particular attention given to the sensitivity of identity documents and marriage paperwork. Access to client records within the platform is restricted to the celebrant's own account (and anyone they've explicitly granted portal or team access to) and to CelebrantCentral staff only where necessary for support or legal compliance.
3. Sensitive information
Some of the information processed through CelebrantCentral (e.g. details in the NOIM, or information a client discloses about a prior marriage or relationship) may be considered "sensitive information" under the Privacy Act. We apply a higher standard of care to this information, including stricter internal access controls, and we do not use it for any secondary purpose beyond providing the service.
4. Children's information
CelebrantCentral is intended for use by adult marriage celebrants and their adult clients.
5. Your rights
Under the Privacy Act, you have the right to:
- Know what personal information we hold about you and why.
- Access a copy of that information.
- Request correction of inaccurate or out-of-date information.
- Make a complaint if you believe we've mishandled your information.

6. Changes to this policy
We may update this policy from time to time — for example, as we add new features, change service providers, or as privacy law evolves. We'll update the "last updated" date at the top of this page, and for material changes, we'll notify active celebrant accounts by email.
